Customising Add-on Workflows
When you install an add-on, its workflows are created in your company as your own workflows. You can change them, and there are two ways to do it. They differ in what the workflow stays connected to, not in how much you can edit — both give you the full builder.
Option 1 — Edit the installed workflow
The simplest path. The workflow the add-on installed belongs to your company and is fully editable.
- Go to Admin > Workflows.
- Open the workflow the add-on installed.
- Edit it like any other workflow — rename phases, change assignments, add or remove phases, adjust decision conditions.
- Publish when you are ready. Until you publish, your changes sit in a draft and running work is unaffected.
The workflow keeps its original name and stays the workflow the add-on's services point at, so everything that referred to it before still refers to it.
Option 2 — Make an independent copy
Use this when you want a workflow that is entirely your own, with no ongoing relationship to the add-on.
- Go to Admin > Workflows and click New Workflow.
- Choose Copy an existing workflow and pick the installed workflow.
- Give the copy its own name (see Naming below).
- The copy is created as version 1, draft. Edit and publish it like any other workflow.
Two things to know about what you get:
- The copy is taken from the source workflow's most recently published version. If the source has never been published, the newest version is used. A draft someone else is still working on is not copied.
- The copy is a separate workflow. It is not attached to any service offering, so nothing uses it until you say so — see Putting the copy to work.
Naming your copy
Names beginning with nembl- are reserved for workflows that add-ons provide,
so a copy needs a name of its own. Prefixing with your organisation's name works
well — for example acme-feature-request. Nembl suggests a valid name for you
and will tell you if the one you type is reserved.
Putting the copy to work
A new copy is not yet connected to anything. To route work through it:
- Go to Admin > Services and open the service.
- Open the offering you want to change.
- Set its Workflow to your copy, and choose which version it should use.
Until you do this, requests continue to run on the original workflow.
Which one should I choose?
| Edit the installed workflow | Make a copy | |
|---|---|---|
| Effort | Lowest — edit and publish | You name it and connect it up |
| Keeps the add-on's services working | Yes, automatically | Only after you re-point the offering |
| Relationship to the add-on | Stays the add-on's workflow | Independent; nothing links them |
| Best when | You want the add-on's process with your adjustments | You want your own process and the add-on was a starting point |
If you are adjusting phase names, assignments or conditions, edit in place. If you are rebuilding the process into something materially different, copy it — the result is clearer to everyone who reads it later, because it does not look like the add-on's workflow while behaving differently.
When the add-on has a newer version
Nembl shows an Update Available badge on an installed add-on when the publisher releases a newer version, along with its changelog so you can see what changed.
Applying a newer version is not automatic, and Nembl does not replace a workflow you have edited. Your changes stay as you left them.
